The Monthly Returns by Order Report gives merchants another look into this same dataset. In this view, merchants can view a list of all orders for which returns were processed. They can also see the monthly total refunded amount. This report provides additional insight into return patterns and gives merchants a handy summary of all returns processed within a month.
What the report shows
Each row is an order with a return processed during the month.
- Order references: the HotWax Commerce order ID and the Shopify order ID.
- Ship address: where the order was shipped.
- Refund total: the total amount refunded to the customer.
- Refund breakdown: the refunded merchandise tax, the refunded shipping price, and the refunded shipping tax.
How teams use it
Finance teams use the refund breakdown to reconcile the month's refunds, because merchandise, tax, and shipping refunds often post to different accounts.
Retail and sales leaders sort by refund amount to see which orders drove the largest refunds and look for patterns in the products or regions behind them. The ship address column lets the team match these orders to the city-level view in the Monthly Returns by Region report.
Because each row carries both the HotWax Commerce and Shopify order IDs, anyone reviewing a refund can find the matching order in either system without searching.
Comparing one month with the next shows whether refund totals are rising or falling, and whether shipping refunds are taking a bigger share.
When a single order shows an unusually large refund, the team can open that order and check whether the return was handled the way the retailer's return policy intends, including whether the shipping charge should have been refunded.
